FUNCTIONS OF BOARD MEMBERS
President:
- Presides over board/annual meetings
- Assigns project tasks as needed
- Assists committees in completing projects
- Prepares agenda for Board/Annual meetings
- Reviews treasurer's bank statements and certifies the reconciliation
Secretary:
- Maintains minutes of board/annual meetings
- Sends notice of annual meetings to membership
- Sends plot reservation forms to members upon request
- Submits reservation applications to the Board for burial plot approval
- Confirms burial plot approvals to members who have made application
- Sends confirmation of plot approval to the Historian
- Maintains mailing list of Association membership
- Receives and sends correspondence
- Places notice of Annual Meeting in local newspaper
Historian:
- Maintains plot board
- Maintains donation history
- Maintains archival records (burials, plot reservations, etc.)
Maintenance Chairman:
- Oversees cemetery maintenance
- Responsible for obtaining bids for maintenance contractor
- Presents maintenance checklist to contractor to assure contract has been fulfilled
- Sends approved invoice to treasurer for payment to contractor
- Assists members in determining appropriate planting of trees and/or shrubs
Treasurer:
- Shall be bonded in the amount of cemetery association funds annually
- Maintains/reconciles the bank statement
- Deposits all funds collected by the Association
- Makes necessary payments as presented by/approved by Board
- Sends record of donations to the historian
- Prepares financial statements for board meetings
- Prepares financial statements for annual meeting of Association
- Recommends reinvestment of funds
- Communicates to the historian the names of individuals who have been interred in the cemetery and names and amounts of all donations
- Prepares invoices to funeral homes for grave openings
